asqanet application and performance assessment status glossary

The following document outlines terms that may appear in your asqanet Provider Portal. The first table lists each status and sub-status that appears on applications*; the second lists each status and sub-status that appears on performance assessments (audits).

*includes notifications of material change or event and notifications of detail changes.

  • Applications
    Status Sub-status Definition
    Submitted Pending Payment The application has been submitted and an application fee invoice has been issued which is awaiting payment.
    Submitted Pending Lodgement Payment The application has been submitted and an application fee invoice has been issued which is awaiting lodgement fee payment.
    Submitted Pending Initial Review The application has been submitted and application fees (if relevant) have been paid, and is currently in-line to be allocated to an Assessment Officer for a completeness check.
    Reviewing In Progress An Assessment Officer is conducting the initial review of the application’s completeness.
    Returned  Additional Info Requested

    A review of the application has determined that it is incomplete and the applicant has been notified. The application either does not contain all of the required information or the information has not been provided in the manner requested.

    Note: The time an application spends in this sub-status does NOT count towards ASQA’s published services standards for application processing.

    Reviewing Resubmitted – Pending Review Additional information to address incompleteness has been received and is being reviewed.
    Processing Risk Assessment in Progress An Assessment Officer is conducting a risk assessment of the application and a decision is being made to either approve or reject the application, or refer it for further assessment.  
    Processing Pending Assessment Payment The application has been deemed to be complete and referred for further assessment, and is awaiting payment of the assessment fee invoice before assessment will commence.
    Processing Referral In Progress The application has been deemed to be complete and referred for further assessment.
    Finalising In Progress Assessment of the application has been completed and a decision has been made. The applicant should be notified of the application outcome at this stage.
    Closed Approved A decision to approve the application has been processed and any changes will be uploaded to training.gov.au or cricos.education.gov.au, as applicable
    Closed Rejected A decision to reject the application has been processed.
    Closed Withdrawn The application has been withdrawn with consent from or notification sent to the applicant.
    Closed Unpaid Invoice The application has been withdrawn by ASQA due to an application fee invoice not being paid.
  • Performance assessments (audits)
    Status Sub-status Definition
    In Progress Performance Assessment Conducted The performance assessment has been conducted and the report is being prepared.
    In Progress Performance Assessment Stopped The performance assessment has been stopped but can be resumed.
    In Progress Referred to Manager An initial recommendation has been made and has been referred to an ASQA manager for approval.
    In Progress Referred for QA The performance assessment report has been prepared and has been referred to a Manager for Quality Assurance (QA).
    Pending Performance Assessment Stopped The performance assessment has been stopped but can be resumed.
    Response in Progress Response Requested ASQA has issued a notice to the applicant/provider (warning letter, intent to sanction, etc) and has requested a response.
    Finalising Referred to Manager The performance assessment report has been prepared and is currently with a Manager of Quality Assessment for QA before being released.
    Finalising Preparing Report ASQA is finalising the performance assessment report. If additional evidence was requested, this may occur after receiving the requested response from the applicant/provider.
    Finalising Recommendations Completed A recommendation has been made regarding the outcome of the performance assessment.
    Finalising Recommendations Supported The recommendation has been accepted by ASQA senior management.
    Finalising Decisions Actioned The recommendation made by ASQA senior management has been actioned by regulatory staff.
    Finalising Decisions Recorded ASQA senior management have made their decision on the performance assessment.
    Finalising Awaiting Decision The performance assessment is awaiting a decision by ASQA senior management.
    Finalising Performance Assessment Stopped The performance assessment has been stopped but can be resumed.
    Closed Not Conducted - Cancelled The performance assessment has been closed prior to being conducted.
    Closed Conducted - Cancelled The performance assessment has been closed after being conducted.
    Closed Performance Assessment Complete The performance assessment has been conducted.
    Closed Performance Assessment Stopped The performance assessment has been stopped.
