During the accreditation period, you may need to make changes to your course. This section explains the different types of changes permitted and the processes for amending, cancelling, or extending the accreditation period for an accredited course.

Amend a course

Before applying to amend your course, consider the following:

If your amendments significantly change the course outcomes, you may need to submit a new course accreditation application. 

Examples of acceptable amendments

  • Updating superseded training package units with current equivalent units
  • Updating training package units with non-equivalent units (if course outcomes are unaffected)
  • Changing wording in the course document (e.g., to reflect new industry practices, entry requirements, or assessor requirements)
  • Removing training package units that have been deleted from the parent training package
  • Adding an extra training package unit as an elective (if course outcomes are unaffected)
  • Adding an extra enterprise unit as an elective (if course outcomes are unaffected).

Examples of amendments that are not accepted

The amendment types listed below are considered major amendments and cannot be processed as an amendment application. These changes will require submission of a new course accreditation application.

  • Changing the title of the course
  • Changing the AQF level, or changing the course type (e.g., from a ‘Course in...' to an AQF qualification).
  • Making significant amendments to enterprise units of competency that alter the unit outcome and require changes to the unit code and/or title, such as:
    • Changes to assessment requirements (e.g., adding or removing mandatory workplace assessment)
    • Adding new elements or performance criteria
    • Removing existing elements or performance criteria
    • Changes that significantly impact the resources required for delivery and/or assessment.
  • Adding or removing pre-requisite units to/from the core units of a qualification, where those units are not included in the packaging rules of the existing course
  • Adding or removing enterprise or training package units from the core list of the course
  • Adding a new specialisation to a qualification (which may include multiple new units)

Amendment application fees

Refer to the current ASQA fees and charges effective 1 July 2022.

Amendment application submission

  1. Complete the Application to amend an accredited course form  
  2. Submit the completed form together with any supporting documents (e.g. a copy of your course document (in Word format) outlining the proposed amendments) to the ASQA Finance team via email: courses@asqa.gov.au   
  3. Receive an invoice from ASQA
  4. Pay the accreditation amendment fee.  

Course changes made by ASQA

In exceptional circumstances, ASQA may need to amend an accredited course.

The course owner will be contacted prior to any changes being made to the accredited course. 

Cancel a course

If your course is not being delivered you may wish to cancel your accreditation.

Cancelled courses appear as ‘non-current’ on the National Training Register (TGA).

You must not advertise your course once it is cancelled.

Cancellation request process

We consider stakeholder feedback in our decision and may contact:

  • RTOs with your course on their scope of registration
  • VET regulators in Victoria and Western Australia
  • Industry regulators and licensing bodies.

Fees  

There is no fee associated with the submission and evaluation of a request to cancel accreditation of a course.

  1. Complete the Application to cancel course accreditation form
  2. Submit the completed form by email to accreditation@asqa.gov.au.

ASQA will let you know of our decision in writing.

Courses cancelled by ASQA

In exceptional circumstances, ASQA may need to cancel an accredited course.

The course owner will be contacted prior to any changes being made to the accredited course.    

Extend a course

You may request an extension to course accreditation if there are exceptional circumstances.

Requests should be submitted at least 90 days before the course accreditation expiry date.

Requests submitted after the accreditation has expired will not be considered.

Exceptional circumstances

The following are examples of situations that may be considered exceptional:

  • The outcome of your course will be included in a nationally endorsed training package scheduled for release shortly after your accreditation expires.
  • Your course leads to a regulatory or licensed outcome, and the legislative framework it aligns with is currently under review. The review is expected to be finalised shortly after your accreditation expires.
  • Your course provides training that is required under legislation, and that legislation is currently under review. The review is due to be completed shortly after your accreditation expires.

Circumstances that are not exceptional

The following examples do not qualify as exceptional circumstances:

  • You did not submit your course accreditation renewal application on time.
  • You wish to accept new enrolments after the expiry date of an existing course, while waiting for registration of a new course.

If your extension is approved

  • ASQA will confirm the new expiry date for your course accreditation
  • The National Training Register (TGA) will be updated with the new expiry date
  • ASQA may notify stakeholders of the decision.

If your extension is not approved

  • ASQA will inform you of the reason your application was not approved
  • ASQA may notify stakeholders of the decision.

Fees  

There are no fees to request an extension.

There are no fees if ASQA approves your course extension.
