As a course owner, you have important responsibilities to maintain the integrity and compliance of your accredited course.

This includes keeping contact and ownership details up to date and ensuring effective monitoring and evaluation of your course.

Changes to course contact details

Keeping your contact details current ensures ASQA and stakeholders can reach the right people for course-related matters. You must notify ASQA of any changes to course owner or content enquiry contacts.

Changes to course ownership

If ownership of your course changes, you are legally required to inform ASQA. This ensures the National Training Register (TGA) reflects accurate ownership and supports continuity of course delivery.  

You must notify ASQA if you have sold, transferred, or reassigned ownership of your course.

Both you and the new course owner must sign this form.

ASQA will:

  • Confirm receipt of your advice in writing to both parties
  • Update the course ownership details on the National Training Register (TGA).

Ongoing monitoring and evaluation

As a course owner, it is your responsibility to ensure the course continues to meet the Standards for VET Accredited Courses 2021 throughout the period of accreditation.  

Standard 10.15 requires you to conduct ongoing monitoring and evaluation of the course as set out in section B: 9.1 of the national course document. This includes monitoring the National Training Register (TGA) for any changes to units of competency and qualifications within nationally endorsed training packages, to ensure there is no duplication with your course.  

If a training package product is endorsed that has the same outcomes as your course, your course may no longer meet the requirements of the Standards and may need to be cancelled.  

It is important that you keep records of your monitoring and evaluation activities. You will need to report on these if accreditation is renewed.

Expiry of course accreditation

Important legal obligations

When accreditation expires, you need to be aware of your legal obligations under the National Vocational Education and Training Regulator Act 2011.

It is important you comply with these obligations or financial penalties may apply.

You need to advise any registered training organisations (RTOs) that were licensed to use the course that is has expired.

Provisions to teach out current students may be available. RTOs should contact their registering body for information.

Updates to the National Training Register (TGA)

When accreditation expires, the National Training Register (TGA) is automatically updated to show the course as ‘non-current’.

Cease advertising the course

When accreditation expires you must immediately stop advertising or promoting the course as ‘accredited’ or as a ‘VET qualification’.
